Credit ledger: how to give credit without losing money

Credit and customers By Mazhar Islam · Updated October 2026 · 2 min read

Simple rules for recording credit sales, collecting payments and keeping good customers.

Decide who gets credit

Give credit only to customers you know. Write down their name and phone number, and agree the limit before the first sale. A limit you can afford to lose is the right limit.

Record every entry immediately

Record the item, amount and date at the moment of sale, not at the end of the day. Show the customer the new balance. A clear running balance prevents most arguments.

Agree a payment day

Tie repayment to something predictable such as salary day or the weekly market. Customers pay more reliably when the date is clear.

Remind politely and early

Send a short WhatsApp message a day or two before the agreed date, stating the balance. Polite, regular reminders protect the relationship better than one angry request months later.

Stop credit when limits are crossed

If a customer passes their limit, pause new credit until they pay something. Review the list of overdue balances every week and look at which customers account for most of the money owed.

Know your credit risk

Add up all balances and compare the total with your weekly sales. If more than a quarter of your sales sit in the ledger, your shop is lending more than it can safely fund and you will struggle to pay suppliers.

Do it in ShopMaz
  • Choose Credit as the payment method when you sell and add the customer. The unpaid part goes to that customer's ledger.
  • Open Credit in the bottom bar to see everyone who owes you. Record part payments there.
  • Send a WhatsApp reminder from the customer's page (their phone number must be saved).

Common questions

Should I charge extra for credit?

Many shops keep one price for everyone to avoid disputes. A better lever is a smaller limit for new customers and a bigger one for customers with a good payment record.

What if a customer disappears?

Stop new credit at once, keep the ledger entry as proof and follow up politely by phone. Write off only after you have tried several times, and never hide the amount from your records.
