Suppliers and purchase orders: buy smarter, pay on time
Your supplier relationships decide your prices, your credit terms and whether shelves are full. Good records make you a customer suppliers want to keep.
Keep one record per supplier
Save each supplier's name, phone number and what they sell. Note delivery time and minimum order. When something goes out of stock you will know who to call and how long you have.
Order from a list, not from memory
Start from the reorder list, which shows items that are low. Decide quantities using your daily sales and the supplier's delivery time, then raise a purchase order so the plan is written down.
Receive stock carefully
When the delivery arrives, check each line against the order: quantity, damage and expiry. Receive the order in the app so the stock increases by what actually came, not by what was promised.
Track what you owe
Record every payment you make against the supplier's ledger. At any time you should be able to answer two questions: how much do I owe, and when is it due. Late payments cost you good terms.
Compare and negotiate
Keep the purchase price history. If one supplier is regularly cheaper for an item, order that item from them. Paying on time and ordering steady quantities gives you real bargaining power.

Common questions
Do I have to use purchase orders?
No. You can record a purchase directly. Purchase orders help when you order by phone and want to check the delivery against what you asked for.
