How to recover overdue credit without losing the customer
Customers who owe you money are still customers. A polite, regular process recovers more money than anger and keeps the relationship alive.
Know exactly who owes what
Sort the ledger by balance and by how long it has been unpaid. The few customers with the largest and oldest balances need your attention first.
Start with a friendly reminder
Send a short message with the amount and a thank-you. For example: "Assalam o alaikum, your balance at our shop is 4,200. Please let us know when you can pay. Thank you." Most customers simply forgot.
Offer part payments
If the customer cannot pay everything, agree on a plan, such as 1,000 every week. Record each part payment immediately so the balance is always current for both of you.
Pause new credit
Do not keep adding to a balance that is not being paid. Offer cash sales until they have paid something, and explain it as a shop rule that applies to everyone.
Escalate calmly
If messages fail, call or visit at a time that suits them. Keep the tone respectful. Never shame a customer in public or discuss the debt in front of others.
Prevent the next one
Set a limit for each new customer, agree a payment day and review the overdue list every week. Prevention costs far less than recovery.
- Open the customer in Credit and send a WhatsApp reminder (save their phone number first).
- Use Business tools → Recovery to see customers who still owe money.
- Record part payments on the customer's page so the balance updates right away.
Common questions
How long should I wait before sending a reminder?
Send one a day or two before the agreed date and another on the day after if nothing arrives. After that, switch to a call.
